A useful part of the booking

Why include a photo album in your venue package?

Built for independent wedding venues, hotels, country houses and event spaces that want to offer a consistent experience across a season of celebrations.

Give your package a thoughtful extra

Include a shared photo and video album with the booking, or offer it as an optional extra. Couples get a place for the candid moments their guests capture, presented with your venue’s branding.

Make the next booking easier to prepare

Save your logo, colour, website and welcome message once. Create each new album from those defaults, then add the couple’s names and date. Your coordinator can prepare the next event without starting from scratch.

Plan the cost per event

Buy prepaid album credits instead of another monthly subscription. Draft albums are free to prepare; publishing an album uses one credit. Unused credits do not expire, so they can carry into your next season.

From booking to shared memories

How your venue team uses Evental

Prepare the service for the couple, then let them enjoy and manage their album.

  1. 01

    Save your venue’s branding

Set up an organiser account with your venue name, logo, colour and welcome message. Preview the guest experience before buying credits.

  2. 02

Prepare an album for the booking

Add the couple’s names, event date and a personal welcome. Keep it as a free draft while you confirm the details; existing albums keep their own branding if your defaults change.

  3. 03

Publish and display the QR code

Use one prepaid credit to activate the album. Download its unique QR code or print a welcome sign, then display it where guests will notice it. They can upload from their phone’s browser without an app or account.

  4. 04

Invite the couple to own their album

Create an invitation for the couple’s email address. Once they sign in and accept, they take over the album controls. The album link, QR code and photos stay in place; your studio keeps the booking record and credit history.

An example for your next season

Ten bookings.
One familiar process.

Imagine a venue preparing for ten weddings. The coordinator saves the venue’s branding and creates a draft for each couple. Details can be checked before any credits are used.

A 10-album bundle costs £179 GBP, or £17.90 per published event. Each album includes photos and video, up to 300 guests and 12 months of hosting from the event date. You decide whether to include it in your wedding package or offer it separately.

After a couple accepts their invitation, they control the album. The coordinator can move on to the next booking without becoming the long-term album administrator.

Where to display your wedding photo QR code

Put a welcome sign beside the guest book, add small cards to reception tables, or include the code in the couple’s event information. A short invitation such as “Share the moments we missed” tells guests what the code is for.

Print a test copy and scan it before the event. Keep the code clear and high-contrast, check the internet connection where it will be displayed, and give the couple the album link for guests who want to upload later.

Questions from venue teams

Wedding venue photo-sharing questions

Why would a wedding venue offer QR code photo sharing?

It gives couples a useful addition to their booking: one shared album for the photos and videos their guests take. For the venue team, reusable branding and a single organiser studio make it practical to prepare albums for multiple weddings.

Can we include the album in our wedding package?

Yes. You can include an album in the package or offer it as an optional extra. Your venue buys the credits and decides how to present the service to couples. Each published album uses one credit.

What does a venue-branded album include?

Your venue’s logo, colour, welcome message and website can appear on the guest album. Albums are hosted on Evental’s domain and Evental provides album support. Custom domains are not included in this version.

What happens after the couple accepts their album?

The couple becomes the album owner and manages its controls. Your organiser studio keeps a record of the booking, while your credit balance and purchases remain in your business account. Guests continue using the same QR code and album link.

Do guests need an app, account or venue Wi-Fi?

Guests do not need an app or account. They scan the QR code with their phone camera and upload in the browser. An internet connection is needed; mobile data or venue Wi-Fi can work, and guests can use the album link to upload later.

How long is each album available?

Each organiser album includes photos and video, up to 300 guests and 12 months of hosting from the event date. Unused prepaid credits do not expire. Couples can download their collection while the album is available.

Does the album give our venue marketing permission for guest photos?

No automatic marketing permission is included. Requests to use photos for your venue’s website or social channels should be handled separately. This version does not include a marketing-consent workflow.
